SUPERVISION General supervision is provided by the HR Manager.
ESSENTIAL JOB FUNCTIONS Provides clerical and administrative support to Human Resources, which includes background checks, employment verifications, new employee on- and offboarding, general and payroll related invoices and payments.
Assist HR with personal property Liability Claims with Texas Municipal League.
Assists with planning and organization with the following programs:
New Employee Backgrounds and Onboarding, Annual Employee Christmas Party, Employee Wellness, Open Enrollment, New Hire Quarterly Orientation, Human Resources Newsletter, etc.
Handle Workers' Compensation and Unemployment claims and liaise with third party agencies.
Copy, fax, and scanning of documents.
Filing.
Distributes all incoming faxes and mail for City departments.
Processing invoices for payment.
Orders supplies.
Assists city employees and residents with questions and provides requested information.
Operation of the multi-line telephone system in a prompt and timely manner; screen and correctly direct incoming calls to the proper recipient and take legible, detailed messages as necessary.
Monitor and handle public inquiries and complaints in a courteous, professional manner.
Assist with special projects as assigned.
May be required to work evenings and weekends if needed.
Other duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS Requires a High School Diploma, and four (4) years of related work experience.
KNOWLEDGE, SKILLS AND ABILITIES Advanced knowledge of Microsoft Products (Word, Excel, PowerPoint, Teams, and Outlook) Basic knowledge of Adobe Creative Suite Knowledge of departmental practices and systems Skilled in the use small office equipment, including copy machines or multi-line telephone systems Skilled in using computers for data entry Knowledge of Social Media platforms Ability to maintain a professional demeanor and an orientation towards customer service Ability to organize, and communicate effectively Ability to maintain constructive and cooperative working relationships with others Ability to cooperate with fellow employees as a team member Public Information Act Open Meetings Act CERTIFICATION, LICENSE AND SPECIAL REQUIREMENTS None PHYSICAL DEMANDS This work typically requires the following physical activities to be performed.
